A final cross-functional handoff for confirming that the selected subcontractor can mobilize under the project’s actual requirements.

Contract and commercial readiness

  • Executed subcontract or work order is on file and matches the awarded scope.
  • Required exhibits, schedule commitments, alternates, and change-order procedures are acknowledged.
  • Unresolved commercial exceptions have an owner and written disposition.
  • Project management confirms the planned start date and scope handoff.

Accounting and administrative readiness

  • Approved vendor and tax setup is complete through the organization’s secure process.
  • Billing, pay application, lien-waiver, and change-order instructions were delivered.
  • Accounting contacts are confirmed for both organizations.
  • Sensitive tax, bank, and identity information is stored only in the approved system.

Insurance and licensing readiness

  • Required project insurance evidence was received and routed to the authorized reviewer.
  • The reviewer’s decision and any conditions are recorded separately from receipt.
  • Applicable contractor or trade license status was checked with the designated reviewer or authority.
  • Relevant expiration or renewal dates have owners and follow-up dates.

Safety and field readiness

  • Project safety requirements and responsible contacts were communicated.
  • Applicable plans, competent-person information, training evidence, or coordination steps identified by the safety team are complete.
  • Site orientation, access, badging, parking, delivery, housekeeping, and emergency procedures are coordinated.
  • The superintendent has the subcontractor supervisor, workforce, schedule, and emergency contact information.

What does ready to work mean for a subcontractor?

It means the organization’s authorized people have completed the applicable contract, administrative, insurance, licensing, safety, and field-readiness decisions for the specific project and recorded any conditions.

Is receiving all requested documents enough for mobilization?

No. Some evidence requires qualified review, and project readiness also includes contract, safety, orientation, scheduling, access, and field coordination.

Who signs the final ready-to-work release?

Use the role authorized by your company policy. The checklist should collect area-level decisions and make exceptions visible, but it should not grant approval automatically.
